Your team

You will be part of the Employee Services (ESE) Division in the Directorate General Human Resources, which has over 100 professionals providing not only integration, health and well-being services but also help with salaries, rewards, allowances and pensions. In addition to assisting more than 4,000 employees throughout their ECB careers and beyond, we support the development and implementation of HR systems at the ECB and deliver state-of-the-art HR analytics. We are constantly reviewing our processes, in order to streamline them and make them more customer-centric.

Your role

As a trainee you will join one of the teams in the ESE Division. You will work as part of that team on various processes and initiatives, gaining insight into the work of HR and the functioning of the ECB. 

Below are the four teams in question and the tasks that you can expect to carry out if you are assigned to them.

HR Health Services:
  • keep sick leave absences up to date in the SAP-based HR information system used by the ECB;
  • contact and advise staff on all matters relating to health absences, the self-service portal, etc.;
  • identify and report pending absences not covered by the necessary documentation and actions;
  • prepare statistics when needed, for example for presentations;
  • contribute to policy research where required, such as for benchmarking;
  • support the automation of HR processes and incorporate the developments into the information system when needed, for example for testing and chatbot maintenance. 

HR Pension and Insurance Services:
  • process and reconcile members’ investment transactions;
  • prepare data and graphics for the reports given to the Pension Fund Investment Committee;
  • interact with internal accounting and the external custodian on operational matters;
  • assist in preparing monthly financial statements, data transfers and the membership report;
  • help test proposed improvements to the self-service apps;
  • communicate with members on pension and insurance issues.

HR Operations
  • support end users, helping colleagues with queries relating to salaries and benefits;
  • help to streamline, digitalise and automate HR processes, including maintaining documentation;
  • support the policy work of the team by, for example, preparing presentations;
  • assist with the design, testing and implementation phases of SAP projects related to the payroll, compensation and allowances workflows while streamlining HR rules and procedures;
  • contribute to research and benchmarking exercises, preparing statistics and supporting policy implementation reviews.

HR Systems:
  • support end users with their day-to-day activities;
  • prepare test data for several HR modules in the various software used by the ECB, namely SAP (personnel administration, time management), Avature (recruitment) and IMC (learning and development portal);
  • perform tests and regressions for the HR processes;
  • document test results;
  • prepare and/or update training material;
  • carry out training sessions with end users on specific tasks.

Qualifications, experience and skills

Essential: 
  • a bachelor’s degree or higher in HR management, business administration, employment and/or industrial relations, social or organisational psychology, accounting, law (preferably EU employment and social security law), business information systems, computer science, data science, statistics, mathematics, business analytics or another relevant discipline;
  • excellent analytical and conceptual skills, and an interest in complex technical content;
  • a very good understanding of the MS Office package;
  • an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages.

Desired:
  • a qualification or experience in HR;
  • a good understanding of data and data processing skills;
  • practical experience using HR IT solutions;
  • knowledge of one or more of the SAP Human Capital Management modules.

You are keen to collaborate with others, pursue team goals and learn from other people’s diverse perspectives. Further information

Traineeship of six months, with the possibility of an extension to a maximum of 12 months in the same or other business areas.
