Your team

You will be part of the Employee Services Division (ESE) in the Directorate General Human Resources (DG/HR). Our Directorate has 100 staff providing services to more than 3,300 employees.

The main tasks of the ESE Division are: 
  • administering the ECB’s pension scheme and medical, accident and travel insurance policies (Health Services and Pension Services); 
  • processing salaries and benefits, managing the ECB’s position plan, employment contracts, staff data and signing powers (HR Operations); 
  • maintaining and further developing the human resources-related part of an extensive SAP application environment (“ISIS”) that supports its main administrative, human resources and controlling processes (HR Systems); 
  • delivering state-of-the-art HR analytics services and solutions for the whole Directorate and customers outside of HR to enable informed decisions, data-driven policy design and optimised business processes (Data Science in HR).
The Division’s processes are continuously reviewed and streamlined to be more customer centric. 

We are currently looking for several trainees who, depending on the team they are assigned to, will: 
  • support sick leave administration and other health services-related processes and policies (Health Services);
  • support operational processes and reporting, help analyse internal processes for optimisation and support policy preparation and implementation, including benchmarking and client surveys (HR Operations);
  • help develop new functionalities or enhance existing ones in SAP and other systems, and support end-users (HR Systems); 
  • help deliver HR analytics services and solutions (Data Science in HR). 

Your role

As a trainee you will work with the members of the team to which you have been assigned on ongoing initiatives, thereby gaining an insight into the work of HR and the functioning of the ECB. You will join one of the teams in the ESE Division and will be given tasks that may include the following.

HR Health Services
The Health Services team provides services and programmes related to the health and well-being of ECB staff. 
Your role will involve supporting all the activities of the team, including operational matters (in particular sick leave administration, including maintaining sick leave absences in the HR system and advising ECB staff) as well as policy research where required.

HR Pension Services
The focus of the traineeship will be to gain exposure to a variety of the team’s day-to-day responsibilities and tasks. Your role will involve:
  • processing and reconciliation of members’ investment transactions;
  • data preparation and visualisation of reports for the Investment Committee in its Pension Fund composition;
  • interacting with internal Accounting and the external Custodian on operational matters;
  • assisting with the preparation of the monthly Financial Statements and the Membership report;
  • assisting with the testing of improvements to the SAP Fiori self-service apps;
  • communicating with members in relation to pension-specific topics.

HR Operations 
The main role of the HR Operations team is the monthly processing and payment of salaries and benefits. It also manages employment contracts and changes in personal circumstances that impact allowances or benefits. 
Your role will involve:
  • supporting end-users and colleagues dealing with the payment of salaries and benefits;
  • assisting with the design, testing and implementation phases of SAP projects related to payroll, compensation and allowances workflows following the streamlining of rules and procedures;
  • supporting policy work in the team by preparing policy-related documentation, including presentations;
  • contributing to research and benchmarking exercises and statistics preparation and supporting policy implementation reviews.

HR Systems
The team focuses on implementing the SAP Human Capital Management (HCM) modules and their supporting Employee Self-Service and Manager Self-Service scenarios and workflows. 
Your role will involve:
  • supporting end-users in their day-to-day activities;
  • preparing/updating training material;
  • carrying out training sessions with end-users on specific tasks;
  • documenting HR processes performed in SAP;
  • preparing test data for several HR modules in SAP (personnel administration, e-recruitment, time management, business intelligence) ;
  • performing tests and regression tests for HR processes;
  • documenting test results.

HR Analytics/Data Science in HR
The focus of the traineeship will be on analysing HR-related statistical data and carrying out qualitative and quantitative research in the areas of salaries, benefits and pensions.
Your role will involve:
  • providing hands-on support using people-related data for different projects and operational tasks, such as transforming, reshaping and visualising datasets;
  • helping design and pilot advanced HR analytics use cases through statistical modelling, data interpretation, deriving recommendations, documentation and writing implementation requirements;
  • managing day-to-day reporting for HR business partners, colleagues in HR who design policies, managers and other stakeholders;
  • carrying out statistical analyses to address operational and strategic HR questions and help establish HR policies;
  • streamlining, digitalising and automating processes, for example by developing analytical and business intelligence applications and supporting IT projects;
  • helping upskill colleagues in areas such as analytics and statistics and update management activities such as software training.

Qualifications, experience and skills

  • a bachelor’s degree or higher, with a specialisation relevant to the work of the DG/HR teams, in one of the following fields: human resources management, business administration, employment/industrial relations, social and organisational psychology, accounting, law (preferably EU employment and social security law), business information systems, computer science, data science, statistics, mathematics, business analytics, or another relevant discipline;


  • a very good knowledge of the MS Office package;
  • a qualification or experience in the area of human resources would be an asset.

For HR Systems specifically:
  • experience of project management and business analysis;
  • knowledge of one or more SAP HCM modules would be an asset.

For HR Analytics/Data Science in HR:
  • as a minimum, an intermediate level of expertise with R or advanced skills with another statistical programming language or six months of experience as an HR analytics professional;
  • experience in or knowledge of analytics and data science methodologies;
  • excellent analytical and conceptual skills and an interest in complex technical content;
  • experience with SQL, Python, R Shiny and Tableau would be an advantage;
  • experience with big data technologies such as Hadoop, Spark, Impala or Hive would be an advantage.
