Your team

The European Central Bank (ECB) is seeking to fill several Management Assistant positions in different business areas and create a reserve list that the institution can draw upon as positions become available over the next 12 months.
The ECB is the central bank responsible for the euro, the single currency in Europe. The ECB’s main task is to maintain the euro’s purchasing power and thus price stability in the euro area. In addition, the ECB, in cooperation with the national supervisors, is responsible for ensuring European banking supervision is effective and consistent.
The ECB is a young institution that was established in 1998. You will work as part of a team supporting the management team, with tasks including coordination with higher management levels and the other divisions in your Directorate General, as well as with the rest of the ECB, and provision of administrative support for the management team and the divisional staff.

Your role

As a Management Assistant you will:
  • manage the flow of information, handle internal and external emails and telephone calls, manage calendars and maintain stocks of office supplies;
  • organise meetings/conferences, and manage business travel arrangements and expense claims;
  • support the Division’s financial/budgetary processes and contribute to budget planning;
  • assist with HR-related processes (e.g. recruitment, newcomers’ on-boarding, inductions and team training);
  • provide administrative and secretarial support to management and divisional staff which may include the support of various business processes (e.g. monitoring central inboxes; creating and coordinating workflows; liaising with internal and external stakeholders) ;
  • manage the Division’s document management workspace;

Qualifications, experience and skills

Essential: 
  • relevant vocational training or equivalent or a university degree in relevant fields like accounting, public administration, business administration, law, human resources, finance, information technology or communications (click here for details on degree equivalences);
  • in addition to the above, a minimum of at least three years of professional experience in providing administrative/secretarial support to managers and their business units; 
  • experience in organising events, conferences or high-level meetings;
  • advanced user knowledge of MS Word, PowerPoint and Outlook, and intermediate knowledge of Excel;
  • user knowledge of document management systems such as OpenText Livelink and of enterprise resource planning systems such as SAP;
  • an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages.

Desired: 
  • experience in managing virtual meeting tools (i.e. Webex, Teams) and virtual collaboration tools (i.e. Mural);
  • experience in working in the public sector within a multicultural environment.

Some of the positions will be on part-time basis. 

Further information

Some of the contracts will be convertible into permanent contracts after three years subject to individual performance and organisational needs. 
Temporary appointments may be extended or made permanent subject to organisational needs and budgetary constraints. This may result in a staff member with a non-convertible fixed-term contract being offered a convertible contract in accordance with the ECB Conditions of Employment.
