Your team
The ECB is the central bank responsible for the euro, the currency shared by 20 European Union Member States. The ECB’s main task is to maintain the euro’s purchasing power and in doing so preserve price stability in the euro area. In addition, the ECB – in cooperation with national supervisors – is responsible for ensuring that European banking supervision is consistent and effective.
You will be part of the Directorate General Information Systems (DG/IS), which has around 300 staff members. It provides innovative, flexible and secure IT solutions to enable staff at the ECB and in the European System of Central Banks (ESCB) to carry out their daily tasks. In addition to running and maintaining more than 100 available services, we are responsible for the ECB’s IT governance frameworks and for developing such frameworks for use within the ESCB. Our activities are focused on delivering IT projects on time and in budget, maintaining stable IT operations, ensuring the highest levels of cybersecurity and resilience, and exploring innovative technologies with added business value.
In your role as Business Process Assistant, you will be part of the DG-IS Management Assistant team of 10 members and will coordinate and manage all the consultant accounts from different vendors supporting projects and services run by DG/IS. You will work closely with various internal and external stakeholders, including our Management Assistant team.

Your role
As a Business Process Assistant you will:
- process the onboarding of DG/IS’s external staff in a timely manner using SAP and other internal ECB tools;
- generate SAP-based reports to support daily operations and follow up on expiring user accounts;
- manage physical and remote access to the ECB IT environment by raising the respective requests and following up on their implementation and completion, also by involving the ECB’s IT Service Desk, Physical Security teams and external suppliers;
- coordinate requests received via the DG/IS shared mailbox for managing our external staff and provide written support to various stakeholders;
- accurately maintain relevant information in the personnel administration system (SAP);
- update and maintain the dedicated Confluence page for DG/IS’s external staff management, including all supporting instructions and documents;
- collaborate with the Management Assistants across DG/IS to provide administrative support, for example granting and maintaining access rights to various ECB internal tools.

Qualifications, experience and skills
Essential:
- relevant vocational training or equivalent, or a university degree in business administration or another relevant field (see How you can join us for details on degree equivalences);
- in addition to the above, professional experience in the field of administrative support in an international public institution;
- professional experience of managing processes for onboarding new staff members;
- experience of the advanced use of MS Office applications (Word, PowerPoint, Excel, Teams);
- experience with SAP software;
- experience of using shared mailboxes;
- an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages.
Desired:
- professional experience with archiving and document management systems (e.g. OpenText Livelink);
- experience with the low-code development platform Mendix;
- previous work experience at the European Central Bank.

Further information
The contract offered will be fixed-term, the appointment being for 12 months as of the exact starting date of the selected person.
Temporary appointments may be extended or made permanent subject to organisational needs and budgetary constraints. This may result in a staff member with a non-convertible fixed-term contract being offered a convertible contract in accordance with the ECB Conditions of Employment.
